Rules, Terms and Conditions
Please read this page before submitting a nomination. Submitting a nomination confirms acceptance of these rules.
1. About the awards
The PSGH Pharma Excellence Awards recognize exceptional achievement by individuals and organizations in pharmacy practice and the pharmaceutical sector in Ghana. The 2026 awards mark the 90th Anniversary of the Pharmaceutical Society of Ghana under the theme Science. Impact. Legacy. — 90 Years of Pharmaceutical Excellence, and will be presented at the Awards Gala Night on Friday, 25 September 2026, at the Dinner Banquet of the 2026 AGM in Accra. Awards are made in 25 categories across eight families. The Lifetime Achievement Award (Kwabena Ohene-Manu Award) is selected by the Standing Executive Committee of PSGH and is not open to public nomination.
2. Who is involved
The Awards Committee, constituted by PSGH, oversees the awards process, vets submissions, determines the shortlist of finalists, and safeguards the integrity of the awards. The Panel of Judges scores shortlisted nominations independently against the published criteria. The practice groups (CPPA, GHOSPA, IPA, ASRPA, and PRASMA) contribute a verified member vote in their five respective individual-practice categories. The secretariat administers the process and assists entrants. A nominator is any person submitting a nomination — for themselves, for another person, or for an organization. A nominee is the person or organization put forward for an award. See the Roles and Governance page for more.
3. Nominations
- Nominations are open to the public. No account is required to nominate.
- Self-nomination and third-party nomination are both permitted.
- A nomination must be complete at the time of submission: the synopsis, the write-up, the profile, and every document designated mandatory for the selected category. The portal will not accept an incomplete nomination. A third-party nominator is responsible for obtaining the required information and documents from the nominee before submitting.
- The nominee is notified by email of every nomination made in their name, including the category and, for third-party nominations, the identity of the nominator. A nominee may decline consideration at any time through the secure link provided; a declined nomination is withdrawn.
- An entrant may be nominated in more than one category. Each entry must be tailored to the criteria of its category and must include its own separate synopsis.
- Duplicate nominations of the same nominee in the same category are identified and merged by the Committee into a single entry for evaluation.
- All nominations must be submitted through this portal by the published closing date (see Key Dates below). Entrants who lack the time or technical means to use the portal may deliver their organized materials to the secretariat, which will enter the nomination on their behalf; such assistance is recorded.
4. Entry requirements
- All entries must be in English.
- Each entry comprises: a synopsis of up to 250 words (used for publicity and ceremony purposes); a write-up of up to 2,700 words excluding attachments, addressing the category criteria directly; and a profile of up to 2,000 words (personal profile for individuals; company profile or brochure for organizations).
- The synopsis, write-up, and profile may be typed directly into the portal or uploaded as a Word or PDF document. Word limits apply equally to both routes and are enforced by the portal.
- Supporting evidence may be provided as links (for example to publications or media coverage) or as uploaded files: up to five files per nomination — documents and images up to 25MB each (PDF, Word, PowerPoint, Excel, JPG, PNG), audio up to 50MB each, video up to 200MB each, and up to 400MB in total. Claims supported by evidence carry materially more weight with the judges than claims without it.
- Each category page states the documents that are mandatory (the portal will not accept the entry without them) and those recommended (which strengthen it).
- Endorsements from relevant stakeholders or sector groups should be signed and uploaded as documents.
- A recent portrait photograph of an individual nominee (or logo for an organization) is requested at submission and is required before any finalist profile or ceremony material is published.
5. Pre-submission quality review
Before an entry is finalized, the portal runs an automated quality review of the draft against the published criteria of the selected category. The review flags claims made without supporting evidence attached, criteria not addressed, and duplicated or generic text, and presents this feedback to the nominator. The nominator may revise the entry, or may proceed to submit without changes; the review advises and does not block submission. Every entrant receives the same review, so the benefit is equal for all. The review is an administrative aid: it does not score entries and plays no part in judging.
6. Verification and additional documentation
- The Committee reserves the right to verify any claim made in any entry, including with regulators, employers, institutions, and referees.
- The Committee may request additional supporting documentation from the contact on file, with a stated deadline. Failure to provide requested documentation by the deadline may result in the entry not proceeding.
- Submission of false or misleading information, in any part of an entry, is grounds for disqualification at any stage, including after shortlisting.
7. Judging
- Shortlisted entries are scored by the Panel of Judges against the published criteria and scoring dimensions for each category.
- Every active judge scores every shortlisted nominee in every open category. A judge with a conflict of interest in respect of a nominee formally recuses from scoring that nominee, and the recusal is recorded.
- Judges score independently and cannot see one another's scores while scoring is open. Once scoring closes, any change to a score requires committee authorization with a recorded justification.
- Aggregated results are reviewed by the Panel in person before winners are finalized.
8. Practice-group voting
- In the five individual-practice categories (Community, Hospital, Industrial, Academic, and Regulatory Affairs Pharmacist of the Year), verified members of the corresponding practice group (CPPA, GHOSPA, IPA, ASRPA, PRASMA) contribute a vote weighted at 20 percent of the final score, with the judges' score weighted at 80 percent.
- Eligibility to vote is restricted to pharmacists in good standing as of the published cutoff date. Voters are verified against the PSGH roster by name, registration number, and email, confirmed by a one-time emailed code. One vote per verified voter per nominee.
- Voters are presented with a standardized, Committee-verified profile of each finalist before voting. Members are advised to keep their practice-group assignment and contact details up to date with PSGH before the cutoff.
9. Confidentiality, data, and use of entries
- Judges and Committee members are bound by confidentiality undertakings. Entries are not disclosed outside the vetting, judging, and voting process.
- Only extracts from the entry synopsis will be used for the awards ceremony, publicity, and editorial coverage. Entrants should not include confidential information in the synopsis.
- Entry data will not be disclosed to third parties except where disclosure is required by law. Entrants may request correction of their submitted data through the secretariat. Automated tools assist the administration of the process, including the quality review and administrative screening; all evaluative decisions are made by the judges and the Committee.
10. Decisions
- The decisions of the Panel of Judges and the Awards Committee are final. No correspondence will be entered into regarding scoring or outcomes.
- The Committee may decline to make an award in any category where, in its judgment, no entry meets the standard the award represents.
- Finalists will be notified ahead of the gala, and winners must confirm the representative who will accept the award at the ceremony.
