Who can submit a nomination?

Anyone. Nominations are open to the public, and no account or sign-up is required. You may nominate yourself, another person, or an organization.

Do I need to create an account or log in?

No. The nomination form is open to everyone. Accounts exist only for judges and committee members, who are added by invitation.

How do I submit a nomination?

Open Submit a nomination and follow the guided steps: confirm you have read the rules, choose who you are nominating and the award, then provide the details. You can type your summary and write-up directly, or upload them as Word or PDF, and then add your supporting documents and any links. When your evidence is in, the form runs a quick completeness check and you confirm your submission. You will receive an email confirmation once it is submitted.

What name should I enter for the nominee?

Enter the nominee's full official name exactly as it is registered with the PSGH, not a nickname, initials, or an informal name. As you begin typing, the form suggests names from the register so you can pick the exact official name; this helps the Committee match the nomination to the right person and avoids the nominee being split across duplicate entries. If you are nominating an organization, or an individual who is not on the register or whom the suggestions do not find, simply finish typing the full official name yourself, the form accepts it either way. For an organization, use its full registered name.

What categories can I nominate for?

There are 26 awards across eight families, listed on the Awards & categories page along with each category's criteria and required documents. Of these, 25 are open to public nomination; the Lifetime Achievement Award (the Kwabena Ohene-Manu Award) is the exception, selected by the Standing Executive Committee of PSGH and not open to public nomination.

Why do I only see some awards when I choose the nominee type?

When you tell the form whether the nominee is an individual or an institution/company, it shows only the awards that fit that choice. If you choose “Individual”, you are offered the individual awards — the practitioner awards, the Young Achiever Award, Pharma CEO of the Year, Practice Research, and similar. If you choose “Institution / Company”, you are offered the corporate, community-pharmacy, manufacturing, and institutional awards. This keeps a nominee from being entered in the wrong award. A few awards are open to either type — Excellence in Regulation, Digital Health & Innovation, and Excellence in Herbal & Traditional Medicine — and appear under both. If you do not see the award you expect, check the nominee type you selected on the previous step.

What counts as a chain, a small-scale manufacturer, or an underserved area?

A few awards use specific definitions. A chain pharmacy is a group of four or more retail pharmacies that share a single owner, brand name, and central management; a chain enters Community Pharmacy Chain of the Year, while a pharmacy with fewer than four outlets enters Community Pharmacy of the Year. A community pharmacy in an underserved area is a registered community pharmacy that has operated for more than three years outside the national, regional, metropolitan, and municipal capitals or areas, and it may enter the Community Pharmacy of the Year – Underserved Areas award. A small-scale pharmaceutical manufacturer is a business that employs not more than 30 permanent workers, earns less than US$1 million a year (or the cedi equivalent), manufactures in a facility licensed by the Ghana FDA, and has at least one product registered with the FDA. Each award's full eligibility is listed on the Awards & categories page and is shown on the form when you select the award.

Does the nominee need to belong to a practice group or association?

For most awards, no. But the five individual-practice awards — Community, Hospital, Industrial, and Academic Pharmacist of the Year, and the Ethical Health Promotion & Regulatory Affairs Award — require the nominee to be a registered member in good standing of the corresponding association: CPPA, GHOSPA, IPA, ASRPA, and PRASMA respectively. For those awards you will be asked to attach evidence of membership. Company and institutional awards instead require the relevant Pharmacy Council or FDA licensing. Each award's full eligibility is listed on the Awards & categories page, so please check it before submitting if you are unsure whether a nominee qualifies.

Can I nominate myself?

Yes. Self-nomination and third-party nomination are both permitted. If you are nominating someone else, you are responsible for gathering the required information and documents from that person before you submit.

Can I nominate the same person in more than one category, or nominate more than one person?

Yes to both. A nominee may be entered in more than one category, but each entry must be tailored to that category's criteria and must include its own separate summary.

What do I need to prepare before I start?

Each entry has two written parts: a Summary of up to 250 words (used for publicity and the ceremony) and a Write-up, or justification, of up to 4,000 words addressing the award's criteria — this is the part the judges score. You should also gather the documents listed for your award (all optional at this stage; see below) and any signed endorsements or testimonials. The nominee's email and phone number are both required. A recent portrait photograph, or a logo for an organization, is optional at submission but worth attaching if you have it. You can type each part or upload it as Word or PDF, and the form shows the word limit as you go.

What supporting evidence can I attach?

Evidence may be provided as links (for example to publications or media coverage) or as uploaded files: up to ten files per nomination, with documents and images up to 25MB each (PDF, Word, PowerPoint, Excel, JPG, PNG), audio up to 50MB each, video up to 200MB each, and up to 400MB in total. When you choose an award, the form also shows named upload boxes for the specific documents that award looks for (for example a licence, a registration certificate, or two to three testimonials), so you can place each document where it belongs. Anything else goes in the general supporting-files box. Claims backed by evidence carry considerably more weight with the judges than claims without it.

What documents does my award need, and what if I don't have them all?

When you select an award, the form lists the documents that award looks for and gives each its own optional upload box — for instance a Pharmacy Council or FDA licence, proof of years in practice, a product portfolio, or two to three testimonials. Every one of these is optional at the point of nomination. A third-party nominator will often not hold all of a nominee's documents, and that is fine: submit whatever you have. After vetting, if the nominee is being processed, the secretariat will request any outstanding required documents before the entry is finalized. Awards that do not list specific documents simply use the general supporting-files box.

Do I need to include a photo of the nominee?

A photo is optional at submission. The form has its own "Nominee photo or logo" upload button, separate from the supporting-evidence files and not counted against the ten-file limit — upload a recent portrait of the nominee, or the organization's logo, as a JPG or PNG (up to 4MB). It's worth adding if you have it, since nominees who reach the finalist shortlist will be asked to provide one before finalist profiles and ceremony materials are published.

What is the quality review I see before submitting?

After you have added your evidence, and before you confirm the entry, the portal runs an automated review of your draft against the award's criteria. It shows you feedback — for example where a claim has no evidence attached, a criterion has not been addressed, or a required document does not yet appear to be included — and it reads the text inside the Word and PDF files you have uploaded so it can check them. A progress bar shows while it runs. It is there to help you strengthen your entry. It does not score your entry, plays no part in judging, and never blocks you from submitting. Every entrant receives the same review.

What are the key dates?

The key dates will be published here once they are confirmed. In the meantime, please check back or contact the secretariat.

Will the nominee know they have been nominated?

Yes. The nominee's email address is required on every nomination, and the nominee is notified by email of each nomination made in their name, including the category and, for a third-party nomination, who nominated them. A nominee who does not wish to be considered can decline through a secure link in that email, and the nomination is then withdrawn. If you are nominating someone else, please obtain their email address before you submit.

What happens after I submit?

You receive an email confirmation. The Awards Committee then vets submissions and determines the shortlist of finalists. Shortlisted entries are scored by the Panel of Judges. The Committee may contact you for additional supporting documentation, with a deadline, so please respond promptly if asked.

How are winners chosen?

The Committee vets and shortlists entries. The Panel of Judges then scores shortlisted nominees independently against each category's published criteria. In the five individual-practice categories, a verified practice-group member vote counts for 20 percent of the final score and the judges' score for 80 percent. The Panel reviews aggregated results together before winners are finalized.

Who can take part in the practice-group vote?

In the five individual-practice categories (Community, Hospital, Industrial, and Academic Pharmacist of the Year, and the Ethical Health Promotion & Regulatory Affairs Award), verified members of the corresponding practice group (CPPA, GHOSPA, IPA, ASRPA, PRASMA) may vote. Voters are checked against the PSGH roster by name, registration number, and email, and confirm a one-time emailed code. Each verified voter may cast one vote per nominee. Keep your practice-group assignment and contact details up to date with PSGH before the cutoff.

How is my personal information used?

Entries are used only for vetting, judging, and voting, and are not disclosed outside that process. Only extracts from your summary are used for the ceremony, publicity, and editorial coverage, so please do not put confidential information in the summary. Your data will not be shared with third parties except where the law requires it, and you may request correction of your submitted details through the secretariat.
